Quotes in GoTaskhub help you present clear pricing, terms, and timelines to customers. Send for approval via the Client Portal, request a deposit, and convert approved quotes to Jobs or Invoices in one click.
What a Quote includes
- Customer (contact & billing details)
- Quote number & date (auto-generated)
- Line items (description, qty, unit price)
- Taxes & discounts (item-level or overall)
- Deposit (fixed amount or %)
- Notes & terms (scope, validity, T&Cs)
- Attachments (photos, PDFs, specs)
- Status (Draft, Sent, Viewed, Accepted, Declined)
Create a quote
- Go to Dashboard → Quotes and click New Quote.
- Select a customer (or create one), then add line items with qty, price, and tax.
- (Optional) Add an overall discount, notes/terms, and upload attachments.
- Toggle Deposit if required, and set a fixed amount or percentage.
- Click Save. The quote remains Draft until you send it.
Send for approval
When you’re ready, click Send to email the quote with a secure Client Portal link. Your customer can review the details and click Accept.
- Status updates to Sent, and later Viewed when the link is opened.
- Actions (send, view, accept) are recorded in the quote’s activity log.
- You can resend or download a PDF at any time.
Convert to Job or Invoice
Once a quote is Accepted, convert it to a Job or an Invoice in one click. Customer and line items carry across automatically to save time and prevent errors.
- Create Job: schedule work, assign team members, and track progress.
- Create Invoice: bill immediately; deposit and taxes are reflected if configured.
Editing & locks
Quotes are fully editable while in Draft. After sending, editing may be limited to preserve the audit trail. If you need revisions, clone the quote to create a new Draft.
- Clone Quote: duplicate a quote with items and terms; status resets to Draft.
- Validation: invalid rows are highlighted; fix them before you can send.
Tips
- Use clear item descriptions and include scope/assumptions in Notes.
- Enable deposits for large jobs to secure commitment and cash flow.
- Add your logo and business details in Business Info for branded PDFs.
Troubleshooting
Client didn’t receive the quote email
Ask them to check spam. Resend from the quote, or copy the secure portal link and share it directly.
Deposit isn’t showing
Ensure the deposit toggle is enabled and amount/percentage is set. If converting to invoice, confirm the invoice reflects the deposit line.
Can’t edit a sent quote
Sent or accepted quotes may be locked for audit reasons. Use Clone Quote to make changes and resend the updated version.
