Leads in GoTaskhub help you capture new opportunities, qualify them quickly, and convert them into customers, quotes, jobs, and invoices. Use stages, tags, and reminders to keep your pipeline moving—and lead scoring to focus on what matters most.
What a Lead includes
- Contact info: name, email, phone, company, title
- Source: how the lead found you (web form, referral, ad, etc.)
- Stage: New, Qualified, Proposal Sent, Won, Lost (customizable)
- Score: numeric or tiered score to prioritize follow-up
- Tags: categorize by service, location, or urgency
- Notes & activity: conversation history and timeline
- Attachments: photos, briefs, or specs you received
- Next follow-up: reminder due date and assignee
Add a new lead
- Go to Dashboard → Leads and click New Lead.
- Enter contact details, stage, tags, and (optional) score and source.
- Set a follow-up date/time and assignee so it’s tracked.
- Save the lead. It appears in your list/pipeline immediately.
You can also create leads from inbound forms or import a CSV (see below).
Manage leads in the pipeline
Use the pipeline view to move leads through stages. Drag and drop to update status, filter by tag/assignee, and sort by score or last contacted.
- Customize stages to match your sales process.
- Use tags (e.g., “Hot”, “Referral”, “Urgent”) for quick filtering.
- Set automatic reminders for follow-ups as leads change stage.
Convert a lead to customer, quote, or job
- Open the lead and review key info, notes, and attachments.
- Click Convert to Customer to create a customer record if one doesn’t exist.
- Create a Quote or Job directly from Lead Details—contact data is prefilled.
- Track progress and update the lead to Won when work is underway.
Duplicate checks help avoid creating the same customer twice during conversion.
Capture and import leads
- Forms: connect a website form to send new submissions straight into Leads.
- CSV import: bulk upload leads; duplicate matching flags likely duplicates before import.
- Email/SMS handoff: add notes from conversations so context lives with the lead.
Communication & follow-up
Keep interactions in one place. Use follow-up dates, reminders, and tasks to stay on track. When ready, send quotes or book jobs from the same screen.
- Use call/email buttons from Lead Details for quick actions.
- Create and schedule Zoom meetings directly from the app.
- Auto-create tasks for high-priority leads using labels or score thresholds.
- Post updates in comments; the activity log tracks changes and outreach.
Tips
- Define clear stage meanings so your team knows exactly when to move a lead.
- Use lead scoring to focus effort on high-probability leads first.
- Tag by service or region to route leads to the right team members.
Troubleshooting
I see duplicate leads
Use duplicate matching (email/phone) during CSV import and conversions. Merge or delete duplicates from Lead Details to keep your pipeline clean.
I can’t convert to customer
Check if a customer with the same email already exists. Use the conversion prompt to link to the existing customer instead of creating a new one.
Reminders aren’t firing
Verify the follow-up date/time and that notifications are enabled. Ensure the lead is assigned to the correct user.
