Jobs in GoTaskhub help you plan on-site work, keep details and files together, and move smoothly from quote → job → invoice. With conflict checks against your Google or Outlook (Microsoft 365) calendars, you won’t double-book your team.

What a Job includes

  • Customer & location (address, on-site notes)
  • Schedule (start & end time, duration)
  • Assignees (team members responsible)
  • Items & pricing (optional if converting from quote)
  • Status (Draft, Scheduled, In progress, Completed, Cancelled)
  • Attachments (photos, PDFs, docs)
  • Activity log (edits, sends, status changes)

Create a Job

  1. From a quote: open an Approved quote and click Create Job.
  2. From the calendar: go to Dashboard → Calendar and click a time slot, or use New Job.
  3. Fill in customer, location, start/end, and assignees. Add notes or attachments as needed.
  4. Click Save. If there’s a clash, you’ll see a conflict warning before booking.

Avoid double-booking

GoTaskhub checks overlaps against existing jobs and your connected Google/Outlook calendar events, including partial overlaps (e.g., 10:00–11:00 vs 10:30–11:30). Adjust times or reassign to resolve conflicts.

  • Filter the calendar by assignee to see individual workloads.
  • Keep external calendars connected so personal events are considered.

Work the Job

  • Attach photos, method statements, or checklists for on-site teams.
  • Update status as work progresses: Scheduled → In progress → Completed.
  • Use comments/notes to keep communication and instructions in one place.

Invoice when the Job is done

From the Job, choose Create Invoice to bill for completed work. If an invoice already exists, GoTaskhub prompts you to update it only if the job has changed, preventing duplicate or stale invoices.

  • Send invoices by email with a secure client-portal link for online payment.
  • Download the PDF or resend if needed — all actions appear in the activity log.

Troubleshooting

I’m seeing job conflicts

Check whether the overlapping events are on a Google/Outlook calendar you haven’t selected. Try re-connecting the integration and verify assigned assignee calendars.

I can’t edit a job

Jobs linked to sent invoices or locked by automation may restrict edits. Set status back to Draft or adjust permissions if appropriate.

The invoice didn’t update

If an invoice already exists, GoTaskhub will only prompt to update it when the job changed. Reopen the job, confirm changes, and use Create/Update Invoice again.
