The GoTaskhub Calendar helps you schedule jobs and appointments, see your team’s workload, and prevent clashes with built-in conflict checks. You can sync with Google Calendar or Outlook (Microsoft 365), set reminders, and keep everything in one place.

Calendar views & basics

  • Views: Switch between Day, Week, and Month to plan at the right zoom level.
  • Drag & drop: Move or resize jobs to adjust start/end times quickly.
  • Filters: Focus by team member, status, or label to reduce noise.

Connect Google or Outlook Calendar

Connect your external calendar so GoTaskhub can consider your existing events during booking and show conflicts before you double-book.

  1. Open Settings → Integrations and choose Google Calendar or Outlook / Microsoft 365.
  2. Click Connect and complete the sign-in/consent flow for your account.
  3. Select the calendars you want GoTaskhub to check for conflicts.
  4. Save your preferences. Events from the selected Google/Outlook calendars will be considered when booking.

Once connected, GoTaskhub checks overlap with your Google or Outlook events when creating or editing jobs, helping you avoid double-bookings.

Create a job or appointment

  1. Go to Dashboard → Calendar and click on a time slot (or use New Job).
  2. Add a title, customer, location, start and end time. Assign team members if needed.
  3. (Optional) Attach documents or add notes for on-site details.
  4. Click Save. If a conflict is detected, you’ll see a warning with the overlapping items.

Avoid double-booking

When you set a job time, GoTaskhub checks for overlaps across your jobs and any connected Google or Outlook calendar events. If a clash is found, you’ll get a clear prompt so you can adjust times or reassign the work.

  • Conflicts include partial overlaps (e.g., 10:00–11:00 vs 10:30–11:30).
  • Use filters to check specific staff calendars before placing work.
  • Keep Google/Outlook in sync to catch personal commitments, too.

Reminders & notifications

  • Enable reminders to get notified before a job starts (e.g., 30 minutes prior).
  • Notify assigned team members when jobs are created, moved, or cancelled.
  • For client reminders, use the Client Portal and email sends to keep everyone aligned.

Time zones & working hours

Set your timezone and working hours in Preferences to ensure events display correctly and prevent bookings outside your normal schedule.

Troubleshooting

Google/Outlook events aren’t considered in conflict checks

Re-open Settings → Integrations and confirm the correct calendars are selected. Make sure your Google or Microsoft connection is active and re-authenticate if needed.

Job times look off by an hour

Verify your timezone setting in Preferences. If you recently changed locales or DST shifted, re-save the preference and refresh the calendar.

I’m still getting overlaps

Check if the overlapping items are on a calendar you haven’t selected. Also confirm assigned team member calendars are accounted for across Google/Outlook.

Microsoft sign-in succeeds but no calendars appear

Ensure the account has an active Microsoft 365 subscription and the Calendars.Read permission is granted during consent. Try disconnecting and reconnecting the Outlook integration.
